How To Use Zapier (AI Features)

Getting Started (10 minutes)

  1. Go to zapier.com and sign up free with Google or email.
  2. Click Create a Zap. A "Zap" is an automated workflow - when something happens in one app, Zapier does something in another.
  3. Choose a trigger (e.g., "When I get a new email in Gmail") and an action (e.g., "Create a row in Google Sheets"). Connect your accounts and you're live.
  4. To add AI: in your Zap actions, search for "AI by Zapier" - this adds an AI step that can summarize, classify, extract, or generate text between your other steps.
  5. Turn on your Zap. It runs automatically every time the trigger fires. You don't touch it again.

Prompt Templates

These go inside the "AI by Zapier" action step.

  • Summarize incoming emails: Trigger: new email ? AI action: "Summarize this email in 2 sentences and classify as urgent, normal, or low priority: {email body}"
  • Score new leads: Trigger: new form submission ? AI action: "Score this lead from 1-10 based on company size, budget mentioned, and urgency. Explain your reasoning: {form fields}"
  • Repurpose content automatically: Trigger: new blog post published ? AI action: "Write 3 social media posts (Twitter, LinkedIn, Instagram) promoting this blog post: {title} {url} {excerpt}"
  • Route support tickets: Trigger: new support ticket ? AI action: "Categorize this as billing, technical, feature request, or other. Assign priority: high, medium, or low. {ticket body}"
  • Turn meeting notes into tasks: Trigger: new transcript ? AI action: "Extract all action items from this transcript. Format as a task list with owner and deadline: {transcript}"

Pro Tips

  • AI + multi-step Zaps is where it clicks. The real power is chaining AI with other apps: Email ? AI summarize ? Slack notification ? Notion database entry. All automatic, no one touches it.
  • Zapier Tables for lightweight databases. Store and manage data inside Zapier itself. Combined with AI actions, you can build a simple CRM, content tracker, or lead scorer without any external database.
  • Start with templates, then customize. Zapier has thousands of pre-built Zap templates. Find one close to what you need, turn it on, then tweak. Way faster than building from scratch.

What It's NOT Good For

  • Casual use on a budget. The free tier gives you 100 tasks/month (a "task" = one successful Zap step). A moderately active workflow burns through that in days. Paid plans start at $19.99/month for 2,000 tasks - so know your volume before committing.
  • Replacing a real AI assistant. Zapier's AI features are an add-on to its automation platform, not a standalone AI tool. If you want to have conversations, brainstorm, or draft content interactively, use ChatGPT or Claude. Zapier shines when you want things to happen automatically without you being involved.
