How To Use Reclaim.ai

Getting Started (5 minutes)

  1. Go to reclaim.ai and connect your Google Calendar or Outlook. Reclaim needs access to see your meetings and availability so it can auto-schedule around them.
  2. Set up your Habits - things you want to do regularly but never find time for. Examples: 1-hour focus block every morning, 30-minute lunch break, weekly 1-on-1s with your team. Reclaim finds open slots and defends them.
  3. Add your Tasks from your to-do list. Give each one a deadline and estimated time. Reclaim will automatically schedule when you should work on it based on your calendar and priorities.
  4. Turn on Focus Time protection. Reclaim blocks off chunks of your calendar so people can't book over your deep work time. You can set how many hours per day you need and when you prefer them.
  5. Create a scheduling link (like Calendly) to share with people outside your company. Reclaim only shows availability that doesn't conflict with your personal calendar, habits, or focus time.

How Reclaim Saves You Time

Reclaim isn't just another calendar app - it's an AI assistant that defends your time:

  • It auto-reschedules tasks when meetings pop up. If someone books over your "finish proposal" block, Reclaim moves it to the next available slot. You don't have to play calendar Tetris.
  • It protects your lunch and breaks. Set a lunch habit and Reclaim will block it off every day. If someone tries to schedule a meeting during that time, they'll see you're busy.
  • It syncs your work and personal calendars without exposing details. Connect both calendars and Reclaim shows you as "busy" during personal events without sharing what they are. No more accidentally double-booking date night.

Pro Tips

  • Use color-coding to see your week at a glance. Reclaim color-codes Habits, Tasks, Meetings, and Focus Time. If your calendar is all meeting blue and no green focus time, you know your week is going to be reactive, not productive.
  • Set buffer time between meetings. In settings, tell Reclaim to leave 10-15 minutes before or after meetings. You'll have time to prep, decompress, or just use the bathroom without sprinting between calls.
  • Create team Habits for 1-on-1s. Instead of manually scheduling weekly 1-on-1s with your team, set them as Habits. Reclaim finds a time that works for both calendars and auto-adjusts when conflicts come up.

What It's NOT Good For

  • People who prefer total manual control. If you like scheduling everything yourself down to the minute, Reclaim's auto-adjusting calendar will feel chaotic. It's built for people who want the system to handle logistics.
  • Teams that don't use Google or Outlook calendars. Reclaim only integrates with those two. If your company uses something else, you're out of luck.
